We are a small property management company located in North London. We specialise in managing residential blocks and providing exceptional service to our clients. We are looking for a dedicated and organised Assistant Block Manager to join our team and contribute to the success of our company.

Position Overview: As an Assistant Block Manager, you will play a key role in supporting our Block Managers in the day-to-day management and maintenance of residential properties. This office-based role will require strong organisational skills, attention to detail, and the ability to communicate effectively with residents, contractors, and team members.

Key Responsibilities:

  1. Administrative Support:

    • Assist in maintaining accurate records of property management activities.
    • Handle correspondence and communications with residents and stakeholders.
    • Prepare and distribute notices, newsletters, and reports as necessary.
    • Maintain electronic and physical filing systems.
  2. Property Inspections:

    • Conduct regular property inspections to identify maintenance and repair needs.
    • Document inspection findings and coordinate necessary repairs with contractors.
  3. Contractor and Vendor Coordination:

    • Liaise with contractors, vendors, and service providers for maintenance and repairs.
    • Obtain quotes, review contracts, and ensure work is completed to company standards.
  4. Financial Management:

    • Assist in the preparation of annual budgets and service charge calculations.
    • Monitor and track income and expenditure related to managed properties.
    • Process invoices and payments in a timely manner.
  5. Client Relations:

    • Provide excellent customer service to residents and address their inquiries and concerns promptly.
    • Attend residents' meetings and prepare meeting minutes as required.
  6. Compliance and Legal Matters:

    • Ensure compliance with property management regulations and lease agreements.
    • Assist in handling legal matters, including lease enforcement and dispute resolution.

Qualifications:

  • Previous experience in property management or a related field is desirable.
  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and property management software.
  • Knowledge of property management regulations and best practices is a plus.
  • Ability to work independently and as part of a team.
  • Attention to detail and a commitment to delivering high-quality service.
